Professional Conference Organising Services

As well as being a member of the New Zealand Convention Association, the Bruce Mason Centre is able to provide a full Professional Conference Organiser (PCO) service accredited by Conventions and Incentives New Zealand (CINZ). This ability provides a unique advantage to Conference Organising Committees by concentrating two of the most important aspects of hosting a Conference, PCO and Venue services, at a single contact point. The following lists the range of tasks the PCO service can undertake on your behalf:

  • Bid Preparation - assistance with proposals, collateral and presentation strategies for securing international conferences
  • Budget Preparation - with ongoing financial management with regular status reports
  • Marketing - full range of services including all print material, internet and email, other media
  • Venue - organisation of all related services -staffed registration desks, rooms, catering, exhibition stands, audio-visual needs etc
  • Programme - advice on programme structure and delivery methods, sourcing of specialist speakers
  • Website - provision of Conference website with on-line delegate registration and paper submission process
  • Keynote Speakers - personal liaison regarding travel, accommodation and other requirements
  • Sponsorship and Exhibitions - preparation of sponsor/exhibitor packages. Liaison and negotiation with potential sponsors/exhibitors
  • Social Events - organisation of specialist venues, menus, entertainment, theming
  • Partner Programmes - provision and organisation of appropriate activities
  • Accommodation - provision of a delegate accommodation booking service
  • Pre/Post Conference Tours - organisation of appropriate tours
  • Delegate Materials - provision of satchels, badges, programmes, pads, pens, giftware etc
